Privacy Policy
This policy explains what data the platform handles when companies use it to run employee transport, why it is needed, who can see it and how it is protected. It covers the website, the transport desk console, the employee app, the driver app and the vendor portal.
Who controls the data
When a company uses the platform for its employee transport, that company decides which employees, drivers and vendors are added and which rules apply. For that data, the company is the controller and we process it on its behalf under our agreement with it.
For data you submit through this website, such as a demo request or signup form, we decide how it is used and act as the controller.
Data we handle
- Employees: name, employee ID, work contact details, shift, office, home pickup and drop location, trip requests, trip history, feedback, SOS and reached-home events.
- Drivers and escorts: name, photo, licence and verification documents uploaded by the vendor, vehicle details, trip assignments and location during active trips.
- Vendors: company details, contracts and rates, invoices, disputes and user accounts for vendor staff.
- Company users: transport desk, security, admin and finance users, their roles and the actions they take, such as plan approvals.
- Website visitors: details entered in our forms and basic technical data such as browser type and pages visited, used to keep the site working and secure.
Location data
Employee location is tracked only during a trip, from trip start until the drop is closed, and is shared only with the company's transport team and the security or command centre roles the company assigns.
Driver location is collected while the driver is on an assigned trip. Location is not collected between trips or outside shift transport.
How data is used
- Planning routes and allocating cabs according to the company's rosters and safety rules.
- Tracking trips, raising SOS, route-deviation and long-stop alerts, and confirming safe arrival.
- Calculating vendor bills from GPS kilometres and contract rates, and handling disputes.
- Producing transport reports on cost, seat use, punctuality and safety for the company.
- Providing support, securing the service and meeting legal obligations.
What drivers can see
Drivers see only what each trip needs: rider first name, pickup or drop pin and the trip OTP check. Employee phone numbers are never shown and all calls between riders and drivers are number-masked. Trip details are removed from the driver app when the trip closes.
Automated route planning
Routes are generated automatically from addresses, shift times, cab capacity and the company's rules. Every plan is reviewed and approved by the company's transport desk before cabs are dispatched. Route planning is not used to make decisions about employment.
Security
Data is encrypted in transit and at rest. Access is role-based, administrative access is logged, and SOS and safety records are kept tamper-evident for audit. No system is perfectly secure, and we notify affected companies without undue delay if a breach affects their data.
Retention
Trip, safety and billing records are kept for the period the company sets, typically at least one financial year for audit. When a company stops using the service, its data is returned or deleted under our agreement. Website form submissions are kept only as long as needed to respond and follow up.
Your choices and rights
Employees and drivers can ask their employer or vendor to access, correct or delete their data, and we help the company respond. Website visitors can ask us directly for access, correction or deletion of what they submitted.
To make a request, use the Transport Desk page.
Changes to this policy
If we change how data is handled in a way that matters, we update this page and tell companies using the service before the change takes effect.
